What is freight forwarding software?
One record per shipment, from quote to ledger
Freight forwarding software is the system a forwarder uses to run shipments and get paid for them. At a minimum it should hold the customer, the quote, the job and its containers or packages, the transport documents, and every charge you bill or pay. The useful part is what happens next: the same job record should drive the customer invoice, collect the vendor bills, and show whether the shipment made money.
Many forwarders still split this across a spreadsheet for jobs, a document tool for BLs and a separate accounting package. That works until someone has to answer simple questions. Which jobs are invoiced but not costed? Which customer is over their credit limit? What did we actually earn on last month's LCL consolidations? BlueLogis FX answers those from one record, because operations and accounts share it.
Who it is for
Sea, air, land and LCL consolidation
BlueLogis FX is used by forwarders handling sea, air and land freight, including LCL consolidation. It suits small teams leaving spreadsheets behind and multi-branch forwarders who need branch-wise collections and salesperson analysis. It runs in the browser on cloud servers, so there is nothing to install and no server for you to maintain.
Workflow
From enquiry to job profit
| Stage | What BlueLogis FX handles |
|---|---|
| Enquiry and quote | Leads, prospects, quotes, customer profiles with KYC and credit limits, alert emails |
| Booking and job | Booking control, standard tariff or approved rates, job route, cargo summary, containers and stage-wise booking status |
| Documents | House BL, master BL and carrier BL formats, part BLs and switch BLs, export invoice raised before BL release |
| Revenue | Customer invoices posted job-wise, automated (robotic) charge calculation, invoice options and per-customer or per-invoice exchange rates |
| Cost | Expected income and provisional expenses on the job, then vendor bill upload and actual job-wise expense posting |
| Collections | Receipts, branch collection due, credit customers, post-dated cheques, customer and vendor statements, party ageing |
| Profit and books | Job-wise P&L, salesperson performance, day book, trial balance, general ledger, P&L statement, balance sheet and period closing |
Because provisional costs go in when the job opens, a missing vendor bill shows up before the period closes.
Accounting built in
Not bolted on
In BlueLogis the chart of accounts, trade debtor and creditor ledgers, charge GLs, tax receivable and payable accounts and bank accounts are set up once. After that, invoices, vendor bills and receipts post automatically. Finance doesn't re-key what operations has already entered, and operations can't release a BL against an unpaid prepaid invoice without finance seeing it.
Tax is built into invoicing. For India that means GST, e-invoicing, TDS, ICEGATE and Tally integration (see freight forwarding software for India). For the Gulf it means VAT, multi-currency invoicing in OMR, AED, SAR and QAR, live UAE e-invoicing, and Oman Fawtara and Saudi ZATCA e-invoicing that is ready to go live (see freight forwarding software for Oman and the GCC).
Forwarding, NVOCC and agency
Three businesses, one system
Forwarders rarely stay only forwarders. Once you consolidate under your own house BL, take an agency for an overseas line or launch an NVOCC service, most software stacks add a second system and a second set of books. With BlueLogis, BlueLogis AX (NVOCC agency) and BlueLogis NX (NVOCC principal) sit on the same platform as BlueLogis FX: one login, shared customer and vendor masters, and finance centralised in one place, with a separate finance book for each business so margins aren't blurred.

Beyond the desk
Customer portal and mobile apps
Customers can register, request rates and booking confirmations, print BL drafts and download invoices through the customer portal. Your sales team gets the BlueLogis Sales mobile app on iOS and Android to log activities and follow up leads from the road, and an Inventory mobile app is available on both platforms too. Premium options include AI-assisted job creation, BL and voyage tracking, WhatsApp alerts and Power BI dashboards.
Choosing software
Questions to ask any vendor
Whichever product you shortlist, ask the vendor to show these live with your own sample shipment, not on slides:
- Can one job carry several currencies, and how are exchange differences posted?
- Does a vendor bill attach to the job automatically, and what happens to the provisional cost?
- Can you stop BL release until a prepaid invoice is settled?
- How are house and master BLs linked for a consolidation?
- Can the same system handle an NVOCC or agency business if you add one later?
